Our Membership Terms, Privacy & Refund Policy

New & Renewing
Membership Agreement

By filling out an application to join the Middlesex West Chamber of Commerce (MWCOC), you agreeing to this Membership Agreement (the “Agreement”), which is made effective as soon as the application is approved by the MWCOC staff, and takes effect by and between MWCOC, located at 234 Littleton Rd, Ste 1B, Westford, MA 01886 and the business applying for membership, (“the Member”).

  1. Membership Benefits

    • Access to networking events, professional development workshops, signature events and when applicable at a special member’s rate.

    • Basic listing on the chamber’s member directories.

    • Opportunities for business referrals and introductions.

    • Discounts on Chamber events and services

    • Use of the Chamber logo for marketing purposes

    • A basic ribbon cutting for grand openings or anniversaries with the appropriate notice and coordination from our staff.

    • Advertising and visibility opportunities

    • Discounted access to our Business Roundtable program

  2. Membership Dues

    • Membership fees are due at the time of your application and are non-refundable.

    • Membership Dues fees are currently available at joinmwcoc.org or on our new member application.

  3. Membership Term and Renewal

    • Initial Term: This Agreement shall commence on the date the Member was approved for membership. This Agreement does NOT terminate automatically. Unless notice is given by the Member to MWCOC in writing with 30 days notice before the membership renewal date. Renewal dates are specified below. Please note that this Agreement will automatically extend under the terms and conditions set forth below, for successive periods equal to the initial term. Regardless of commencement or notice date, this Agreement can only be terminated by Member at the end of a calendar month.

    • Annual Membership: The term of this membership is one year from the date of this Agreement. Membership will automatically renew for subsequent one-year terms unless either party provides written notice of non-renewal at least 30 days before the end of the current term.

    • Monthly Membership: The term of this membership is one month from the date of this Agreement. Membership will automatically renew on a month-to-month basis unless either party provides written notice of non-renewal at least 15 days before the end of the current month. All monthly memberships must be signed-up for auto-bill and pay with a credit card.

  4. Member Responsibilities: The Member agrees to:

      • Abide by the Chamber’s bylaws, policies, and procedures

      • Pay membership fees in a timely manner

      • Act in a professional and ethical manner during all Chamber events and activities

      • Promote the Chamber’s mission and values

  5. Default: If the Member is more than thirty (90) calendar days past due, MWCOC shall have the right to declare the Member in default. If, after three (3) working days from notification of default, full payment for fixed charges has not been received by MWCOC, MWCOC may without further notice terminate all services provided under this Agreement, including, for the avoidance of doubt, denying Member access to Member Discounts and the Member Directory. 

  6. Declined payments: Any check, credit card transaction, wire transfer, or other payment method that is declined for insufficient funds or other reasons shall result in a $25.00 fee per occurrence. The Member remains subject to the timing and late fee provisions established above.

  7. Termination of Membership

    • The Chamber reserves the right to terminate the Member’s membership for failure to comply with the terms of this Agreement or any other reason deemed appropriate by the Chamber’s board of directors. No refund of membership fees or sponsorships will be provided in the event of termination.

  8. Limitation of Liability

    • The Chamber shall not be liable for any indirect, incidental, or consequential damages arising from or in connection with this Agreement. The Member agrees to indemnify and hold harmless the Chamber from any claims, damages, or expenses arising out of the Member’s participation in Chamber activities.

  9. Time is of the Essence: The timing provisions contained in this Agreement constitute a material part of the Agreement.

  10. Applicable Law: The Agreement shall be governed and construed in accordance with the laws of the State of Massachusetts. This instrument and all documents incorporated by reference contain the entire Agreement of the parties. By checking that you accept the our terms at the time you apply or renew, you are accepting this agreement.

Privacy Terms & Conditions

Your privacy is important to us. While information is the cornerstone of our ability to offer excellent service, the Middlesex West Chamber of Commerce recognizes that our most important asset is our members’ and consumers’ trust. We are particularly concerned about the privacy of our individual members and those who register for events and request information from the Chamber (“you”). To help you better understand how we protect nonpublic information about you, we are providing you with the following statement describing our practices and policies with respect to the privacy of member information.

Information we may collect
In order to maintain accurate records and perform various services for our members, we collect and maintain information about you from various sources, including the following:


Information we receive from you on applications, forms and other information you provide us, whether in-person, in writing, by phone, electronically, via the Internet or by other means. This information may include your name, address, telephone number, e-mail address and credit card number; and information about your transactions with us.

Information we may disclose and to whom we may disclose
We do not disclose any nonpublic information about our members or former members to anyone except as permitted by law.

 

Our security practices
We restrict access to nonpublic information about you to those employees who need to know that information to provide services to you. We maintain physical, electronic and procedural safeguards that comply with federal regulations to guard your nonpublic information.

Former members and others who request information or register for events even if you cease to be a member of the Middlesex West Chamber of Commerce, our Privacy Policy will continue to apply to you.
This Privacy Policy applies to nonpublic personal information about individuals who obtain our services for primarily business purposes. We reserve the right to change the Privacy Policy, and any of the policies described above, at any time.

 

Information Accuracy
The Middlesex West Chamber of Commerce strives to maintain up-to-date, complete and accurate member information. If at any time you believe our information about you is inaccurate, please call us at 978-263-0010.

Refund Policy

All sales of merch, membership dues, event tickets, raffle or silent auction donations, and sponsorships are final and not refundable. Since we are a small regional non-profit, we are unable to give refunds without significant hardship and we hope you’ll consider this as you invest in us and choose to help us serve our region.
